Privacy
Poised Prep provides AI practice hearings to disability claimant representatives ("Firms"). The Firm is our customer. We do not contract with, sell to or advise claimants. We treat case summaries, transcripts and debriefs as the Firm's confidential information and use them only to deliver the service.
What we collect
- The Firm's intake form: client alias (first name or initials), ages, impairments, treatment by provider type, medications, work history, the RFC argued and known weak points.
- Representative contact details for debrief delivery.
- The text of the live practice session (transcript).
What we never collect
Social Security numbers, claim or BNC numbers, Medicare/Medicaid IDs, full names, full dates of birth, street addresses, names of doctors or facilities, and medical-record or exhibit uploads. The intake form blocks SSN-like, claim-number-like, Medicare-ID, date-of-birth, email and phone patterns, and transcripts are automatically masked for them.
Retention and deletion
Transcripts and debriefs are kept for 30 days after the session so the Firm can ask questions, then deleted automatically. A "no storage" option (deletion within 24 hours of delivery) is available on request. Unused client links expire after 14 days. If the pilot ends, data is deleted on these rules. Deletion is confirmed by email on request.
AI providers
Sessions and debriefs are produced by a large language model through an API that does not store requests and does not use inputs to train models. Any provider we use must offer equivalent terms; subprocessors are listed on request. We do not send transcript text to analytics tools.
Who can see the data
Access is limited to Poised Prep's founder, who reviews every debrief before it goes to the Firm. Data is encrypted in transit and at rest. The client never receives a score or debrief from us; the Firm decides what to share.
Safety
If a client mentions thoughts of suicide or self-harm, the practice session stops, the client is directed to the 988 Suicide & Crisis Lifeline, and the Firm is told so someone can check in.
Breaches
We notify the Firm without undue delay and within 72 hours of confirming any unauthorized access to its data.
